Vacancy – Delegate Management Assistant

Kingston upon Thames | Full-time

Who are we looking for?

An experienced events person who’s familiar with registration systems and enjoys seeing digital technologies improve the event experience for delegates. We have our own delegate management registration software, and you’ll have this amazing tool at your fingertips throughout your working day. This is a meaty role in a dedicated team devoted to using our delegate management system (DMS) to create a fantastic introduction to any event. We offer full training in our system and the chance to be both office-based as well as to go on-site to manage registration and undertake venue liaison.

What will your day look like?

  • Extremely varied and fast-paced
  • Lots of client interaction: at meetings, over the phone, by email.
  • In the office: lots of time spent liaising with venues and speakers and building event websites. Masses of detailed admin work too, like producing project plans, managing event databases and delegate attendance records
  • Out of the office: going to events up and down the country, setting up and undertaking registration and being the first one to greet delegates when they arrive.

What experience do I need?

A stickler for detail, with a great telephone manner and impeccable customer service this person must be able to work autonomously once trained. We’d like to think you’ve got some experience in a similar role too. You must also be personable and calm under pressure and proficient in Microsoft Office (database skills knowledge, experience with Excel and ability to mail merge in Word).

We have our own registration software, event app and interactive solutions and you’ll have these award-winning tools at your fingertips throughout your working day. You’ll have the chance to be both office-based as well as to go on-site to manage registration and undertake venue liaison.

What will your day look like?

  • Extremely varied and fast-paced.
  • Working closely with a team of project managers, developers and programmers.
  • In the office: lots of time spent liaising with venues, speakers and delegates and building event websites. Masses of detailed admin work too, like producing project plans, managing event databases and delegate attendance records.
